Understanding Our Refund, Cancellation & No-Show Policy

At Midtown Medical, we are dedicated to delivering personalized care while respecting our patients’ and providers’ time. Our Refund, Cancellation, and No-Show Policy is designed to ensure equal access to our services and the continued quality of care. By booking appointments, patients agree to the terms outlined, which help us maintain smooth operations and fair service allocation.

1. Medical Care Appointments


No-Show Policy
  • A $50 No-Show Fee will be charged for any medical care appointment that is missed without at least 24 hours’ notice of cancellation.
  • Patients arriving more than 15 minutes late may, at the provider’s discretion, be considered a no-show if the delay impacts the schedule.
  • Repeated no-shows may result in:
    - Suspension of scheduling privileges
    - Requirement to prepay for future visits
    - Possible discharge from the practice in cases of repeated non-compliance

Refunds & Payment Responsibility
  • The $50 fee is non-refundable and will not be applied toward future visits.
  • Patients remain responsible for any outstanding balances related to services provided before the no-show occurred.
  • Insurance does not cover no-show fees. Patients must pay directly.


2. Med Spa Services


Appointment Scheduling Fee
  • A $25 non-refundable scheduling fee is required to reserve all med spa appointments.
  • This fee covers the cost of administrative scheduling and the initial consultation with your provider.
  • The $25 will be credited toward the cost of your treatment if you proceed with the scheduled service.

No-Show Policy for Med Spa Services
  • A $100 No-Show Fee will be charged to the card on file for any med spa appointment that is missed or canceled without at least 24 hours’ notice.
  • This fee may be applied as a credit toward a future service when the new appointment is scheduled and completed within 90 days of the original missed date.
  • If the appointment is missed again, any previously applied credit will be forfeited.

Cancellations & Rescheduling
  • Cancellations made at least 24 hours in advance will avoid penalties, and the $25 scheduling fee will remain on file to be applied toward your upcoming treatment.
  • Cancellations made with less than 24 hours’ notice may result in forfeiting the scheduling fee and/or being charged the no-show fee.
  • Patients with repeated late cancellations or no-shows may be required to prepay in full for future services before an appointment can be scheduled.


3. General Refund Policy


Payments, Deposits & Packages
  • All deposits, prepaid services, and treatment packages are non-refundable.
  • Prepaid balances may be transferred to a different service of equal or lesser value with management approval. If the new service exceeds the prepaid balance, the patient will be responsible for the difference.
  • Promotional offers, discounts, or bundled pricing cannot be converted into cash value, refunded, or combined with other offers unless specifically stated.

Refunds for Services Rendered
  • Once a service has been performed, refunds cannot be issued. This is because results vary based on individual patient factors and provider recommendations.
  • If you are dissatisfied with the results of a treatment, we encourage open and timely communication with your provider. While refunds are not available, we will work with you to explore additional treatment options or adjustments.

Product Purchases
  • Unopened retail products may be returned within 14 days of purchase for office credit only.
  • Opened or used products cannot be returned due to safety and health regulations.


4. Exceptions & Emergencies

  • We understand that unexpected emergencies (such as illness, accidents, or family emergencies) may arise. Please contact our office as soon as possible if you are unable to attend your appointment. Documentation may be required for exceptions.
  • Management reserves the right to waive or adjust fees in rare circumstances at their discretion.


5. Acknowledgment of Policy

  • By booking an appointment, patients acknowledge they have read, understood, and agreed to this Refund, Cancellation, and No-Show Policy.
  • These policies are in place to protect the time and resources of our staff while ensuring fair access to care and services for all patients.
